Your hotel's cancellation terms usually decide whether you'll get money back. In the U.S., no single hotel rule gives every booking a 24- or 48-hour free-cancellation period.

Open the confirmation before you click cancel. Find the booked rate, exact cutoff, no-show language, payment collector, and the company that would issue any refund.

This information is for U.S. consumers. Other countries may give travelers different rights.

What controls a hotel reservation?

One room booking can involve the property, a booking platform, and your card issuer. Those roles can split. The property provides the room, the hotel or online travel agency (OTA) may collect the payment, and the card issuer handles a separate question: whether a charge can be disputed.

Booking route Where to start Check
Direct hotel booking Hotel website, app, or reservations team Booked rate, property deadline, no-show fee, and refund method
OTA booking OTA reservation page or support team OTA terms, hotel terms, payment collector, and cancellation confirmation
Package booking Company named on the itinerary Package rules and the terms for the hotel portion

Booking.com's customer service guidance says the property sets cancellation fees. It also says the confirmation will show whether Booking.com handles payment. That distinction matters if the hotel can explain a charge but cannot return money collected by the OTA.

Read the rate terms before you pay

A room name tells you only so much. The rate conditions decide what happens after your plans change.

Turns out, "refundable" doesn't mean refundable whenever you want. It usually means refundable only until a particular deadline.

Save the final rate details before paying. A screenshot gives you a record if the confirmation later uses different wording.

Hotel cancellation deadlines and late fees

The cutoff is usually the most useful line in the reservation. Put it on your calendar right away.

Situation What the reservation may require
Cancellation before the cutoff No cancellation fee if the rate promises free cancellation
Cancellation after the cutoff A fixed fee, first-night charge, percentage, or another amount stated in the terms
No-show The no-show charge listed for that rate, which may differ from the cancellation fee
Same-day date change Rebooking under a new rate, a change fee, or treatment as a cancellation

Use the property's time zone if the confirmation names one. Traveling across time zones can make "two days before arrival" less clear.

The federal airline 24-hour cancellation rule does not automatically cover hotel reservations. Hotels and OTAs generally apply the terms displayed for that particular booking.

If the confirmation leaves out the fee, ask the hotel or OTA to explain it in writing before you cancel. Get the amount, deadline, and no-show treatment in the same message if you can.

Refunds, deposits, and pending card holds

A cancellation confirmation and a refund are separate events. First, the rate must allow the cancellation; then the party that collected the payment must return the money or release the hold.

Payment item What to check
Prepaid refundable rate Whether the cancellation qualified and which company will send the refund
Non-refundable rate Whether the seller offers a voluntary waiver or permitted exception
Security deposit Whether it is a separate hold for incidentals rather than a cancellation deposit
Pending card authorization Whether the amount is temporarily blocked instead of being a completed charge
Pay-at-property booking Whether the card was used as a guarantee for late cancellation or no-show

A pending authorization can tie up funds without becoming a final charge. Booking.com's customer service information describes a pre-authorization as a temporary validity check. Ask your bank whether the entry is a pending hold, a completed charge, or a refund still being processed.

Refund timing depends on the hotel and payment route. Hilton's cancellation help says a refund can take up to 30 days and may be processed by the hotel. Your bank may need additional time to display it.

Marriott, Hilton, Booking.com, and Expedia

Marriott, Hilton, Booking.com, and Expedia don't set one deadline for every hotel reservation. The property, dates, demand, rate type, and booking route can all change the conditions.

Reservation Practical approach
Marriott direct booking Read the booked rate and the property's stated deadline. Don't replace the confirmation with a general Marriott policy.
Hilton direct booking Use the website, app, hotel, or customer support channel listed by Hilton, then follow the exact rate terms.
Booking.com reservation Check the property-specific fee and whether Booking.com collected payment. The confirmation is central.
Expedia reservation Open the itinerary's cancellation details and use the support channel attached to that reservation.

Third-party reservations deserve extra care. Start with the company named in the confirmation, then contact the property if you need a waiver or written explanation. The hotel may not be able to change or refund a booking the OTA sold and collected.

Thing is, loyalty status doesn't automatically make a non-refundable rate flexible. The purchased rate still controls.

How to cancel and protect your refund

Make a record while you cancel. Reconstructing the booking later is much harder.

  1. Open the original confirmation and locate the rate, reservation number, cutoff time, and payment collector.
  2. Use the proper channel. Cancel a direct booking with the hotel; cancel an OTA booking through the OTA unless its instructions say otherwise.
  3. Before submitting the request, capture the displayed fee, refund amount, and cancellation deadline.
  4. Complete the cancellation and save the confirmation number, timestamp, and email.
  5. If a representative grants an exception, ask for a case number and written confirmation of the promised result.
  6. Track the refund separately from the reservation status. A canceled booking does not prove that the money has returned.

If the deadline is close, use the fastest channel available. Follow a phone call with a written message. Keep the record after the refund appears, too.

No-shows and last-minute cancellations

A no-show usually means you didn't arrive or cancel within the permitted window. The rate's no-show language controls the charge.

Call the property and booking platform as soon as a delay appears. If you still expect to arrive, ask the hotel to note the late arrival and keep the room active. If you won't use the room, ask whether the hotel will waive or reduce the fee before the deadline.

An airline delay, illness, or family emergency may support a goodwill request. None automatically erases a valid hotel charge.

For example, a two-night reservation might list a one-night no-show fee. The hotel should be able to point to that term. Don't assume you owe the full stay, and don't assume the fee is only one night without checking the confirmation.

What to do if a hotel denies your refund

Use the written terms first. A chargeback isn't the first step for an ordinary policy disagreement.

Problem Useful evidence First request
Fee charged after an on-time cancellation Confirmation, cancellation timestamp, and fee receipt Ask the hotel or OTA to reverse the charge under the stated policy
Refund approved but missing Refund reference, cancellation email, and card statement Ask the payment collector for the processing date and trace details
Non-refundable booking Rate terms and documents supporting an exception request Ask for a voluntary waiver, date change, or credit; don't describe it as an automatic right
Duplicate or unauthorized charge Statements and booking records Contact the merchant and your card issuer promptly
Hotel canceled or failed to provide the room Cancellation notice, photos, messages, and receipts Request a refund for the unavailable service and document any replacement arrangement

To be honest, a chargeback is a payment dispute, not another cancellation button. It may fit a charge that conflicts with the written terms, a duplicate or unauthorized charge, or a prepaid room the merchant failed to provide. It isn't a guaranteed refund for a valid non-refundable no-show.

For a U.S. credit card, ask the issuer about its billing-error process and any written-notice requirements. Debit cards and bank transfers have different protections, so contact the bank promptly. Send the reservation terms, cancellation confirmation, messages, and exact disputed amount.

State laws may add disclosure or contract protections. No single federal hotel rule guarantees a cancellation refund for every reservation. This is general consumer information, not legal advice.

If the hotel cancels or cannot provide the room

Ask for the property's cancellation in writing. Then request the return of any money paid for a room that wasn't provided.

If the property offers another room or hotel, get the replacement details first: price, taxes, and cancellation terms. An OTA booking may require the OTA to approve the arrangement.

Situation What to document
Property cancels before arrival Cancellation message, refund promise, and any replacement offer
Room is unavailable at check-in Names of staff, photos, receipts, alternative lodging, and written explanation
OTA arranged the booking Every message with the OTA and property, including who promised the refund

Extra compensation, travel costs, or a price difference can depend on the contract and circumstances. Ask for those separately from the basic refund for a room the hotel didn't provide.

Questions travelers often ask

Can I cancel a hotel within 24 hours without a fee?

Not automatically. A hotel or OTA may offer that option, but the reservation terms govern.

Can I get a refund on a non-refundable hotel booking?

Possibly, but not as an automatic right. The seller might allow a waiver, date change, or credit, and another applicable protection could matter. Contact the seller quickly and ask for the answer in writing.

Who should refund an OTA hotel booking?

Begin with the company that collected the payment and appears in the confirmation. The property can still explain what happened or request a waiver.

Does a no-show always cost the full booking?

No. The listed term might set a first-night fee, a percentage, or the full reservation amount. Check the rate itself.

How long do hotel refunds take?

There is no universal timeline. The hotel, OTA, payment method, and bank all affect processing. Hilton says some refunds can take up to 30 days.

For your next booking, open the cancellation details before paying, save the exact deadline and no-show rule, and screenshot the final price. If plans change, you'll have the record in hand.
